1. About us

MeroIMS is a product of A.K. Research Lab Pvt. Ltd. ("A.K. Research Lab", "we" or "us"), a company registered in Nepal (Reg. No. 401864/83/84). We build cloud inventory, billing and AI accounting software for businesses in Nepal.

Running a business on MeroIMS means trusting us with your stock, your customers and your books. We hold that information to the standard we would want for our own, and this policy sets out plainly what we collect, why, and what control you keep over it.

2. What this policy covers

This policy applies to everything A.K. Research Lab Pvt. Ltd. offers under the MeroIMS name:

• Our website at meroims.com and its subdomains, including the MeroIMS application at app.meroims.com.
• The MeroIMS mobile apps.
• Add-ons, support and onboarding services sold with a MeroIMS plan.

3. Information you give us

We collect the information you enter yourself, which falls into four groups:

• Account details: your name, work email, phone number, business name, PAN/VAT number and business address.
• Business data: the products, customers, suppliers, bills, journal entries and documents you record in the application.
• Enquiries and support requests: what you send through our demo and plan forms, or tell our support team, so we can respond to you.
• Payment details: what is needed to bill you for your plan and add-ons, such as billing name and address.

4. Information collected automatically

When you use the application we record technical information needed to operate and secure it: log-in times, IP address, browser and device type, and an audit trail of changes made inside your workspace. This is what lets you see who changed a record, and lets us investigate suspicious access.

5. How we use it

We use your information to:

• Provide the service: store your books, generate your bills, reports and returns.
• Support you: answer questions, diagnose faults and restore data when something goes wrong.
• Keep the service secure: detect unauthorised access and prevent abuse.
• Bill you: process payments and issue invoices for your plan and add-ons.
• Improve the product: understand which features are used so we can fix what is hard and build what is missing.
• Tell you about the product: service notices, and product updates you can unsubscribe from at any time.

6. Who can see your information

Inside your workspace, what each person sees is set by the roles you assign. Administrators of your business account can see the staff accounts under it.

We do not sell your data. We do not share your business data with other customers, and we do not use the contents of your books to build products for anyone else. Access by our staff is limited to those who need it to support you, and every access is logged.

7. Service providers

We rely on third parties for hosting, email delivery and payment processing. They may process your information only to provide those services to us, under agreements that require them to protect it.

Our AI features, such as AI import and the AI assistant, are powered by Google's Gemini models. When you use one, the data that feature needs is sent to Google to produce the result. We do not use your data to train AI models. To learn how Google handles it, you can read Google's Gemini API terms of service.

Beyond that, we share your information only where you ask us to, or where Nepali law requires it.

8. Storage, security and retention

Your data is encrypted in transit and at rest and backed up continuously. No system connected to the internet can be guaranteed impenetrable, but we monitor for and respond to security incidents and limit access to those who need it.

We keep your business data for as long as your account is active. If you close your account, we retain it for a limited period so you can change your mind or export what you need, after which it is deleted from our active systems; backups age out on their own schedule. Records we are required by Nepali law to keep, such as invoices and tax documents, are kept for the period the law requires.

9. Your rights

You can, at any time:

• Export your products, ledgers, transactions and reports to Excel or CSV.
• Correct the account details held about you from within the application.
• Ask us to delete your account and the data in it.
• Unsubscribe from product emails without affecting service notices.

10. Cookies

Our website and application use cookies to keep you signed in and to remember basic preferences. Blocking them in your browser will stop the application from keeping you logged in.

11. Changes to this policy

If we change this policy we will update the date at the top of this page, and material changes will be announced in the application before they take effect. If you do not agree with a change, you can export your data and close your account.
